01About this contract
These Terms govern any booking you make with Love Himalaya Journey Pvt. Ltd. ("LHJ," "we," "us"), a trekking and travel operator registered in Kathmandu, Nepal. By paying a deposit you accept these Terms on behalf of every traveller in your booking.
LHJ was founded in 2026. We are a new company built on a twenty-year operating foundation. The entity you contract with is new, and the safeguards in this document reflect that.
"Trek" means any guided itinerary listed on lovehimalayajourney.com or quoted to you in writing. "Tier" means one of the three trek tiers: The Trail, The Journey, or The Transformation.
02Booking and payment
To confirm a booking, a non-refundable deposit of 40% of the total trek price is due within 7 days of the Stripe invoice we send you. Your departure is not held until that deposit is received.
The remaining 60% balance is invoiced 45 days before departure and is due 30 days before departure. Late payment of the balance may release your departure spot.
Why the deposit is 40%
Operational preparation begins immediately: lodge pre-bookings, permit processing, guide assignment, porter scheduling, and safety equipment allocation. These are real costs, committed before the trek begins.
| Stage | Amount | Timing |
|---|---|---|
| Deposit | 40% of total | Within 7 days of invoice. Non-refundable. |
| Balance | 60% of total | Due 30 days before departure. |
| Payment fees | Included | Stripe transaction fees are absorbed by LHJ. |
03What's included
The exact inclusions vary by tier and route. Every published trek itinerary lists its inclusions in full. These items are included in every LHJ trek:
- A licensed lead guide meeting our published credentials floor.
- Pulse oximeter checks, supplemental oxygen, first aid, and satellite communication where the route requires it.
- The Two-Tier Altitude Protocol, applied identically on every trek that crosses 3,000m.
- Permits and TIMS fees for the published route.
- Airport transfers on arrival and departure in Kathmandu.
International flights, Nepal visa fees, travel insurance, personal trekking gear, alcohol, optional helicopter legs, tips, and costs caused by itinerary changes outside our control.
04Insurance and documents
Travel insurance is mandatory. Your policy must explicitly cover helicopter evacuation in Nepal up to the maximum altitude of your trek. We verify your policy before departure. We will not start a trek without it.
- Passport scan with at least six months validity from departure date.
- Emergency contact name and phone number.
- Insurance policy number, provider, and evacuation coverage.
- Medical disclosure for any condition that altitude, cold, or sustained exertion could affect.
05Cancellation
The full policy, including partner groups, medical exceptions, and force majeure handling, lives on our Cancellation Policy page and is incorporated into these Terms by reference.
| If you cancel | Deposit (40%) | Balance (60%) |
|---|---|---|
| 60+ days before departure | Non-refundable | Fully refunded, equal to 60% of total price |
| 30-59 days before departure | Non-refundable | 50% of balance refunded, equal to 30% of total price |
| Under 30 days before departure | Non-refundable | Non-refundable |

06Health and altitude
You are responsible for choosing a trek that matches your health and fitness. We require honest disclosure of any condition that altitude, cold, or sustained exertion could affect.
Above 3,000m, every trekker is screened for SpO2 twice a day. If the protocol requires descent, the lead guide's decision is final. Safety does not have a price tier.
07Itinerary changes
Mountain operations are subject to weather, flight cancellation, road conditions, and Civil Aviation Authority decisions. We may modify an itinerary when the safety of the group requires it.
If LHJ cancels a departure outright for insufficient group size, safety concern, or government restriction, you receive a full refund of all payments made, including the deposit, or a full credit for a future trek.
08Conduct on the trail
On safety matters, the lead guide's decision is final. Respect for crew, lodges, monasteries, villages, and other trekkers is part of the booking agreement.
09Liability
LHJ accepts liability for direct loss caused by our negligence to the extent required by Nepali law. We do not accept liability for weather, flight schedules, road conditions, government action, illness arising from undisclosed conditions, or personal property loss on the trail.
10Governing law
These Terms are governed by the laws of Nepal. Any dispute arising under them is subject to the exclusive jurisdiction of the courts of Kathmandu.
